Position Summary

The Program Coordinator: Finance Assistant/Coordinator plays a vital role in supporting HYPU’s youth and family programs by managing a variety of financial and administrative functions. This position ensures sound fiscal management, regulatory compliance, and smooth day-to-day operations, working closely with both the program Administrators and the finance team.

Key Responsibilities

Finance and Accounting:

• Maintain complete and accurate financial records, including accounts payable, accounts receivable, and expense tracking.

• Assist with annual budget preparation, monitor program budgets, and prepare regular financial reports for staff and funders.

• Support grant management, including budget tracking, expense documentation, and data gathering for reporting.

• Help prepare for audits and annual tax filings; assist with payroll-related tasks as required.

• Communicate with vendors, banks, and external partners on financial matters.

Program Coordination:

• Work with program staff to ensure that finance and operations support align with program goals and schedules.

• Assist in planning and logistics for program activities, meetings, and events (e.g., tracking expenses, ordering supplies, preparing documentation).

• Support recruitment and onboarding of volunteers or aids for finance-related duties.

• Assist in outcome data collection and preparation of required reports.

Administrative Support:

• Keep organized files of financial and program-related documents, maintaining confidentiality and accuracy.

• Develop, improve, and implement financial and administrative tracking processes.

• Support continuous improvement in efficiency, accuracy, and transparency of finance and program operations.

Qualifications

•Associate or bachelor’s degree in accounting, finance, business administration, or a related field, or equivalent experience.

• Minimum 2 years' experience in bookkeeping, nonprofit finance, or program administration.

• Proficient with accounting software (QuickBooks, Excel, Google Workspace).

• Detail-oriented with strong organizational, communication, and time management skills.

• Demonstrated ability to handle sensitive and confidential information appropriately.

• Experience working in multicultural environments; knowledge of Hmong or Southeast Asian communities is a plus.

• Ability to work some evenings/weekends as needed for program meetings and events.

Preferred

•Experience managing or assisting with nonprofit grants and contracts.

• Fluency in Hmong or familiarity with Hmong cultural issues is highly desirable.
